The licence saving most small charities are entitled to

If your charity is paying full price for email and Office, it is very likely paying too much. Eligible non-profits can claim Microsoft 365 Business Basic free for up to 300 users through Microsoft’s non-profit programme — proper hosted email on your own domain, Teams, SharePoint, OneDrive and the web versions of Word, Excel and Outlook, with no licence cost at all. For an organisation running on a handful of staff and a rota of volunteers, that is usually the largest single saving available anywhere in the IT budget, and it comes with the account structure that makes clean offboarding possible in the first place.

One correction worth making, because outdated advice is still doing the rounds: the free grant for Microsoft 365 Business Premium ended on 1 July 2025. Business Premium is still available to non-profits at a substantial discount, but it is no longer donated, so if you want its extra security and device-management features you should budget for the discounted price rather than plan around a donation that no longer exists. Eligibility in England and Wales is normally confirmed against your Charity Commission registration, and the checks are straightforward. We can tell you which plans you qualify for, claim them, and get them set up properly through Microsoft 365 setup — including the multi-factor sign-in and account hygiene that funders increasingly ask about, and that also form part of Cyber Essentials readiness if a grant or corporate partner has asked you for it.
