Frequently Asked Questions

Is this the same thing as your Microsoft 365 service?
No, and it is worth being clear about the split because the two are often bought together. This page is about your files, shared drives and servers — the network drive everyone maps, the file server in the cupboard, the folders that have grown for a decade. Microsoft 365 setup is about your email and the 365 tenant itself — mailboxes, moving from Gmail, Exchange or webmail, Teams, user accounts and licences. Plenty of businesses need both at once, and when they do we plan them as a single project so the two do not trip over each other.
Will we have downtime during a file or server migration?
Very little, because most of the work happens before anything changes for your team. Files are copied to the cloud in the background over days or weeks while everyone keeps working from the existing drive, and only a final catch-up sync happens at changeover. Server migrations need a real cutover window, which we schedule for your quietest period — we are open Monday to Friday 10:00 to 18:00 and Saturday 10:00 to 17:00, and a Saturday changeover is usually the least disruptive slot for a small business.
What happens to our folder permissions?
They are mapped before anything moves, which is the part most rushed migrations skip. Years of shared-drive permissions tend to be a mixture of deliberate decisions and forgotten exceptions, so we produce a picture of who currently has access to what, check it against who should, and rebuild it properly in the destination. The failure mode we are avoiding is the common one: everything landing in a single library that the whole company can read, including the payroll folder.
Is our data safe during migration?
Yes. We take a verified backup before we start, transfer data securely, and check it at each stage. The source data stays exactly where it is until you have confirmed the migration is complete and correct — nothing at the old location is deleted on our say-so. If you would rather keep the old file server switched off but intact for a few months afterwards, that is a perfectly sensible precaution and we will set it up that way.
Can we get rid of our file server altogether?
Often yes, and for a small office it is frequently the cheaper answer — no hardware to replace every five years, no cupboard heating up, and remote access without a VPN. It is not always right, though. Very large media libraries, applications that expect a mapped drive letter, and setups where local speed genuinely matters can be better kept on-premises or run as a hybrid. We tell you which camp you are in during the assessment rather than assuming everything should move.
Do we need to replace our computers?
Usually not. Cloud storage works through a browser or a sync client on the machines you already have. What sometimes needs attention is an operating system too old to be supported or a machine short of disk space for local sync, and we flag those during the assessment so there are no surprises halfway through.
Can we migrate gradually rather than all at once?
Absolutely, and for most businesses it is the better route. Moving one department, one shared drive or one system at a time reduces risk, gives people time to adapt, and means a problem affects a handful of users rather than everybody. It also lets you tidy as you go — a phased migration is the one realistic opportunity most businesses get to clear out a decade of folders nobody has opened.
