A custom email address depends on three separate things: ownership of the domain, a mailbox provider and DNS records that direct and authenticate mail. The website can remain with its existing host while email moves elsewhere, but only if the current DNS zone is understood. We establish that structure before changing email for a Fulham customer.

Find who controls the domain and DNS

We identify the domain registrar, authoritative DNS provider, website host and current mail provider. Administrator access and a record of the existing zone are needed before work begins. If domain ownership or recovery access is unclear, that must be resolved before a reliable mailbox change can be planned.

Separate website and email records

Website records and mail records can share one DNS zone but serve different systems. An MX record controls where new domain mail is delivered, while SPF, DKIM and DMARC help receiving systems evaluate authorised senders and handling policy. Existing web, verification and third-party records are preserved unless the agreed scope requires a change.

Prepare the destination first

New mailboxes, aliases and required users are created before mail routing changes. Domain verification, provider settings and security options are prepared, then the cutover and rollback route are agreed. DNS propagation and third-party provider behaviour mean a fixed interruption-free promise cannot be made before the environment is assessed.

Preserve old mail and device access

Changing the MX record directs new mail; it does not copy historic messages, folders, contacts, calendars or local Outlook archives. Those sources are assessed separately, and the supported migration method is agreed before data is moved. Outlook, phones and other selected devices are reconnected and tested for send, receive and the expected folders.
