How we scope the work

Before quoting a setup or migration, we need to understand the number of users and devices, the current email provider, domains, mailbox and file volumes, shared mailboxes, permissions and any business-critical deadlines. This discovery separates a straightforward setup from a migration that needs data transfer, staged changes or work across several devices.

Migration process and continuity

For a migration, the destination accounts and services are prepared before the final mail-routing change. The exact sequence depends on the source platform, but may include verifying the domain, creating users, copying in-scope mail or files, planning the DNS cutover, configuring devices, and testing mail flow and access. The aim is to minimise disruption; no migration should be described as zero-downtime or risk-free until the existing environment has been assessed.

Typical timeframes

Once the required access is available, the expected ranges are:

• Straightforward setup: same day or within one working day
• Small email migration: one to two working days
• Small-business migration across several users or devices: two to five working days

Mailbox size, data volume, internet speed, DNS propagation and restrictions imposed by the existing provider can extend those timescales. Larger or more complicated migrations are assessed and scheduled individually.

Support and pricing in Hammersmith

Support can be delivered remotely, onsite in Hammersmith, at our Putney workshop, or through collection and return where appropriate. For business migrations, an out-of-hours cutover can be arranged when normal-hours work would cause significant disruption, but this is scheduled project work rather than guaranteed standard availability.

Straightforward setups and larger migrations are assessed and quoted according to their scope. Microsoft licence and subscription charges are separate unless a written quotation expressly includes them.
