What VoIP actually is
VoIP stands for Voice over Internet Protocol. Instead of carrying calls down a traditional copper phone line, it turns your voice into data packets and sends them over the same internet connection you use for everything else. The handset on your desk might look identical to an old one, but behind the scenes the call travels through your router and out to a hosted phone platform rather than to the local exchange.
This matters more than usual right now because the UK’s old analogue phone network is being switched off. BT and other providers are retiring the traditional PSTN, with the migration to digital lines continuing through the coming years. If your office still runs on old-style lines, a move to VoIP or another digital service is not really optional in the long run — it is a question of when, not if.
The upside of doing it deliberately, rather than being forced at the last minute, is that you get to plan the setup properly instead of scrambling.
The broadband and network you need
VoIP is only as reliable as the connection it rides on. A single call uses very little bandwidth — roughly 100 kbps in each direction — so raw speed is rarely the problem. What matters far more is the quality and consistency of the connection.
Three things to check before you commit:
- Upload speed. Home-grade broadband is often heavily weighted towards download. Several simultaneous calls need decent, stable upload headroom, so a fibre connection with a proper upload figure is worth having.
- Latency and jitter. Calls break up when packets arrive late or out of order. A connection that benchmarks fast on a speed test can still deliver choppy calls if latency wanders. This is where a sound underlying network setup earns its keep.
- A wired path where possible. Desk phones and any on-site VoIP hardware are far happier on a cable than fighting for airtime over congested wireless.
If staff will take calls on laptops or mobiles moving around the building, your Wi-Fi coverage becomes part of the phone system, and dead spots turn into dropped calls. It is worth treating the network and the phones as one project rather than two.
Quality of Service and why it matters
On a busy office connection, a large file upload or a cloud backup kicking off mid-morning can starve your calls of bandwidth at exactly the wrong moment. The fix is Quality of Service, usually shortened to QoS — a router setting that prioritises voice traffic over everything else so calls stay clear even when the network is busy.
Not every consumer router handles this well, and configuring it correctly is one of the fiddlier parts of a VoIP rollout. It is a common reason a system that worked fine in testing starts to stutter once a full office is using it.
The genuine pros and cons
VoIP is not automatically better than what you have. It is a trade-off, and it helps to be honest about both sides.
In its favour:
- Lower call costs, especially for long-distance and international calls.
- Numbers are no longer tied to a physical line, so staff can take office calls from home, a mobile, or a laptop.
- Features that used to need expensive hardware — voicemail-to-email, call menus, hunt groups, call recording — come built in.
- Adding or removing a line is usually a software change rather than an engineer visit.
Against it:
- No internet means no phones. A broadband outage takes your whole system down unless you plan a fallback, such as diverting to mobiles automatically.
- Call quality depends entirely on your connection and network being in good shape.
- Power cuts matter more, because your router and handsets need electricity where an old analogue phone often did not.
For most offices the balance tips towards VoIP, but the caveats are real and worth designing around rather than discovering later.
Planning the switch
A smooth move comes down to preparation rather than luck. A sensible order looks like this:
- Audit what you have. Count your lines, list the numbers you must keep, and note any that are printed on signage, vans, or stationery.
- Test the connection. Check upload speed, latency and jitter under normal working load, not first thing on a quiet morning.
- Sort the network first. Get cabling, the router, QoS and Wi-Fi coverage right before any handset arrives.
- Port your numbers. Keeping your existing numbers is usually straightforward but takes lead time, so start early.
- Run in parallel briefly. Where you can, keep the old system live for a short overlap so a hiccup does not leave you unreachable.
- Train the team. Most friction on day one is simply people not knowing where the new features live.

Getting it right the first time
Moving to VoIP is as much a networking job as a phone job, and the calls are only ever as good as the connection and the kit underneath them.
